Create and Manage Items and Stocks
Learn how to create and edit items from the Inventory Management module.
This section gives you step-by-step instructions for adding, updating, removing items from your inventory.
IMPORTANT: If you want to display the item in your Online Store (or in Mobile App), it is important to add location and stock in your item.
For you to create an item, you have to set up your unit first as this is required information when creating an item. You can create your own unit through the Units page.

Search for Items

- Type in your search keyword in the search field to start looking for the specific item.
- Search entries can be by Item Name and Category.
Update a Unit
- Head to the Inventory page of your Merchant Portal, click the Unit tab.
- Click the pencil icon under the Actions column of an existing unit.
- Once you have made your changes on the Unit form, click the Update Unit button.
Delete a Unit
- Head to the Inventory page of your Merchant Portal, click the Unit tab.
- Click the trash bin icon under the Actions column of an existing unit.
A confirmation message will appear, click " YES" to delete the unit. Otherwise, click " NO".
NOTE: The deleted unit should no longer be available or visible in the Units List.
Create Items
Once you have created your units, you’re ready to start creating your items for your store and checkout page.

Update an Item
- Head to the Inventory page of your Merchant Portal, click the Items tab.
- Click the pencil icon under the Actions column of the existing item.
When you are on the Edit mode of an item, you have two (2) actions that you can do:
Add Price and Variation | it allows you to add variations of your item and add price per variation. |
Add Location and Stock | it allows you to create locations per item and replenish stocks for that location. |
Add Variations per Item
- When you open the Update Item page, click the Price and Variation tab
- Click the Add Variation button
Variation Name | refers to the name of the variant you are adding. |
SKU | refers to the printed SKU of the item you are adding most often seen printed on product labels. |
Bar Code | auto-generated item identifier. |
Unit Type | refers to units you have created in your inventory. |
Price | refers to how much the variant costs. |
- Click the ADD Variation button to save the variation.
- Once saved, the variation will be displayed under the Price and Variation table.
Add Item Locations and Stocks
You can only create item locations and stocks if you have added a variation and price. If you have set these requirements, then you are good to go in creating your item locations and stocks.
- When you open the Update Item page, click the Location and Stock tab
- Click the Add Item Location button.
Item Variation | select the item variation you wish to create a location. these contain the variations you have created in the Price and Variation tab. |
Location | this refers to the location where the variant is located. |
Price | this refers to the price of the variant based on the location you have indicated. |
Current Stock | this is based on the stock amount you will provide. |
Stock Alert | toggle if you want to be alerted when stocks run low. |
Low Stock Alert | enter the quantity you want to be alerted when stocks run low. |
Stock Adjustment Reason | select from the list the reasons for restocking. |
Stock Amount | the number of replenished items. |
Always in Stock | this refers to if you have infinite or limited stocks. |
- Click the Add Stock button to save the stocks and location.
- Once saved, the location and number of stocks will be displayed under the Location and Stock table.
- You can also see in the Price and Variation tab that the Overall Stock Column has been updated as well.
- Click the Update button to save other changes made in the Edit mode of Items.
Stock Logic
- If you enable the Always in Stock, then the Stock Adjustment will not be required. You can save your item without values on Stock Amount.
- If you disable the Always in Stock, then the Stock Adjustment should be populated and the Stock Amount.
Deactivate an Item
- Head to the Inventory page of your Merchant Portal, click the Items tab.
- Click the pencil icon under the Actions column of the existing item.
- Click the "DEACTIVATE" button.
NOTE: Once you have deactivated an item, you will not be able to see it on your Online Store or Checkout. You cannot use deactivated items too in creating Invoice.
Delete an Item
- Head to the Inventory page of your Merchant Portal, click the Items tab.
- Click the trash bin icon under the Actions column of an existing item.
A confirmation message will appear, click " YES" to delete the item. Otherwise, click " NO".
NOTE: The deleted item should no longer be available or visible in the Items List.
