Managing Tips

This article is for the Merchant Owners and their app users on how to manage the Tips sent to the Employees who performed work order(s) or service(s) to their valued customers.

Learn how to manage tips given to your Employees today!

Let’s start with accessing the Tip module from the Merchant Portal.

  1. Login your account to Merchant Portal.

  2. Click the Tip tab from the Navigation bar to open the Tip Management page.

Three (3) tabs available within the Tip Management module. (a) Tips, (b) Employee Tips, (c) Reports.

I. Tip Settings

Here you can modify and control the computation and percentage of tips for distribution to Employees.

  1. Click the Tip Settings button that you can find on the right side of the page.

  • Computation Type:

    • Percentage

      • select this type if you prefer the customer tip(s) to be distributed by percentage.

      • selecting Percentage type allows you to choose Dispatch Type.

        • Dispatch Type refers to the setting of how you want the customer tips to be processed after payment is made by the customer. It has settings of (a) Manual, (b) Auto

          • Manual → choosing Manual option will let you to manually “distribute” the customer tips to the Customer once payment is made.

          • Auto → choosing Auto option will automatically distribute the customer tips to the involved employees.

  • Even Share

    • select this type if you prefer the tip(s) to be distributed evenly.

  • Percentage Options

    • the amount of percentage you prefer to set for the customers to choose when they pay for the tip.

  • Include Admin

    • tick this option if you want to send a notification to the Merchant Owner about the tip when a payment is made by the customer.

II. Tips

The Tips page displays the list of paid invoices where the Tip Amount was included in the payment.

The list contains columns of essential data to manage the tips per invoice or work order.

  • Invoice Number → this is the corresponding paid invoice number of the work order.

  • Work Order Number → refers to the work order where the Employee was assigned.

  • Customer → refers to the one who paid for the tip

  • Employees → refer to the Employee who rendered the service.

    • the entity who will receive the tip amount.

  • Amount → this is the tip amount given by the Customer.

  • Paid Date → refers to the date when the tip was paid.

  • Status → refers to the tip status.

  • Actions → will show you a modal of Employee tip details wherein you can distribute and release the tip per paid invoice.

III. Employee Tips

The Employee Tips page displays the list of employees including their corresponding unpaid tips and total acquired tips.

Employee tips list has the following columns:

  • Employee → the receiver of the customer tip(s).

  • Unpaid Tips → the accumulated customer tips that are not yet released per employee.

  • Total Tip→ the total accumulated paid and unreleased customer tips by the Manager.

  • Actions → will show you a modal of Employee tip details wherein you can release the tip per paid invoice.

III. Reports

The Reports page simply shows the monthly breakdown of customer tips and top employees.

IV. Distribute the Customer Tip

Make sure that you have the same Tip Settings as below to manually distribute the customer tips to your Employees.

Enter Percentage Options if you have preferred percentage when distributing customer tips to your Employees, but this is optional.

The customer paid tips and invoices will have a corresponding tip status in the tips tab which is either “ For Distribution” or “New

  • If your settings are Percentage with Dispatch: Type Manual, then the status will be New. The status will change to “FOR DISTRIBUTION” once you have viewed the tip details.

  • If your settings are Percentage with Dispatch: Type Auto, then the status will be For Distribution.

Once you have already set the Tip Settings and assuming that your Customers start paying for tips, follow the instructions below to manually distribute the tips.

Instructions:

  1. Log in to Merchant Portal

  2. Navigate to the Tip module.

  3. Go to the Tips tab.

  4. Choose the paid invoice with the status “FOR DISTRIBUTION” or “NEW” you would like to open to manually distribute the tips to the involved Employee/s.

  5. Click the eye button under the Actions column

  6. Review the Tip Details of the customer paid invoice.

    1. Tip Details include Paid Invoice Details, Work Order Details (if there is a service performed), Customer Details, and the list of Employees involved in the service or invoice.

    2. ach employee on the list has a displayed distribution field that pertains to the percentage of how much tip will be distributed to them. (again, the percentage depends on your settings)

    3. Distribute and Close buttons are the actions that you can do within the Tip Details modal.

  7. After the Tip Details are reviewed, click the Distribute button.

    1. Distribute button will allocate the customer tip to the Employees according to the percentage defined in the Tip Settings.

Once you have distributed the customer tip successfully, the status of the Tip will change to Processed.

If your settings are Even Share, then the status of the tip is automatically set to Processed, and the customer tips are equally distributed to the Employees automatically.

V. Release the Customer Tip per Employee

Assuming that your settings are Even Share and the customers have already paid the tips and invoices. Follow the instructions below on how to release the Customer Tip per Employee.

Instructions:

  1. Log in to Merchant Portal

  2. Navigate to the Tip module.

  3. Go to the Employee Tips tab.

  4. Choose the Employee you would like to release the tip.

  5. Click the eye button under the Actions column. This is to view the list of invoices with released and unreleased tips of the selected Employee involved.

    1. The list of Employee Tips includes the following columns: Invoice number, Tip Amount, Distributed Date, Status, Release Action.

    2. Release Action column will display you the Release button for those invoices with unpaid tips. Otherwise, the button is hidden and just displays the Release Date instead.

  6. Click the Release button.

The status becomes PAID for every released tip.

VI. Release the Customer Tip to All Employees

Before you can release all Customer Tips in an Invoice, ensure that you have already released the tips per Employee in Employee Tips for the specific invoice.

Assuming you have reviewed the distribution of the tips per invoice and released the tip per employee involved in the specific invoice. Follow the instructions below to release the customer tips per paid invoice.

Instructions:

  1. Log in to Merchant Portal

  2. Navigate to the Tip module.

  3. Go to the Tips tab.

  4. Choose the paid invoice with the status “PROCESSED” you would like to release the tips.

  5. Click the eye button under the Actions column.

  6. For PROCESSED tips, you will notice the following:

    1. Per Employee, there is already an indicated amount of tip. (this happens after releasing the tip per employee).

    2. Release Tip and Close button. Release Tip is action button to release the distributed customer paid tips among the Employees involved in the invoice.

  7. Click the Release Tip button to disburse the tips for the selected paid invoice.

The status becomes PAID for every released tip. At this stage, you cannot revert the release of tips nor do any actions on the tip.
